Adding colleagues

Inviting someone, what it costs, and what to do when a person leaves.

Inviting

Team → Invite → their work email and the access level. They get an email with a link, set their own password, and appear on the team list. Invitations expire after seven days; send another if one goes stale.

If the email does not arrive, check junk first — then tell us, because it usually means something needs fixing at our end rather than theirs.

What a colleague costs

One seat each. Clients are unlimited on every paid plan — you pay for the people at the desk, not the companies you look after.

Adding a seat mid-period is charged pro rata straight away. Removing one takes effect at your next renewal. If you are already at your seat limit, the desk will say so and offer to add one before the invitation goes out.

Do not share a login. Beyond breaching the terms, it makes the audit trail worthless — “who marked this return filed?” has no answer if two people use one account.

When someone leaves

Two things, in this order:

  1. Move their clients. Team → the person → Reassign all. Every client where they were the accountant or reviewing manager moves to whoever you choose, in one action, with an audit line on each. Do this before removing them, so nothing is left unassigned.
  2. Remove them. They lose access immediately. Their name stays on the historical records they touched — you would not want an audit trail that rewrites itself.

Removing someone frees the seat at your next renewal.

Who handles what

Every client carries two names: the accountant who does the work and the reviewing manager who checks it. The Workload page shows, per person, how many clients they carry, how many tasks are open, how many returns fall due in the next thirty days, and how many book months are waiting on documents. It is the page to open before promising a client a date.
